How to get things done

This is the practical page: reaching the board, requesting documents, reporting a maintenance issue, and asking for architectural review — each in a few plain steps.

Start here

Reaching the board and management office

Every route below lands with the same people, so use whichever suits the moment.

Contact form

Best for most things — your message is delivered with a topic attached, so it reaches the right person first.

Open the form →

Phone

The management office line: (949) 555-0143. Best for urgent safety issues in a common area.

Email

Write to board@fourcreekshoa.org — the same inbox the contact form delivers to.

Documents & records

Governing documents, forms, and agendas

The association's recorded governing documents, current forms, and meeting agendas and minutes are available to residents on request. Rather than posting copies that can drift out of date, the management office sends the current version of whatever you need.

To request a document, use the contact form with the topic “General question” and say what you're after — for example the governing documents, an architectural request form, or the agenda for an upcoming meeting.

Maintenance

Reporting a common-area issue

If something in a shared space needs attention — a hazard, damage, an irrigation problem, or landscaping that has been missed — report it through the contact form with the topic “Maintenance & common areas”. Include:

  • Where — the location, as precisely as you can describe it.
  • What — what you observed, and roughly when.
  • How urgent — say clearly if it looks like a safety concern.

For urgent safety issues in a common area, call the management office line at (949) 555-0143 rather than waiting on a written reply.

Architectural review

Requesting an exterior change

Exterior changes are generally subject to review under the association's recorded governing documents. The process is deliberately simple.

  1. Describe the change

Send your request through the contact form with the topic “Architectural request”. Describe what you'd like to change, and include materials, colors, or placement where they're relevant. The management office will send the association's request form if one applies.

  2. Review under the governing documents

The board — or its architectural reviewers — checks the request against the recorded standards the community has agreed to, and may come back with questions before deciding.

  3. Written response before work begins

You'll receive the association's decision in writing. Please don't begin work until you have written approval — it protects you as much as the neighborhood.
